Privacy Policy

This Privacy Policy explains how your personal information is collected, used, and protected when you use QuoteForge (the “App”), available at quoteforge-app.vercel.app. It is written to comply with the Protection of Personal Information Act, 2013 (“POPIA”).

The Responsible Party is Zane Grobler, a sole proprietor trading as “HorizonAI” (“we”, “us”, “our”), based in Mbombela, Mpumalanga, South Africa. Our Information Officer is Zane Grobler.

1. Information we collect

• Account details: your email address and password (your password is stored only in hashed form by our authentication provider — we never see it).
• Business profile: details you enter during setup — company name, your name, company email, phone, and similar — used to brand your quotes.
• Content you create: the quotes, price lists, and client details you enter, which may include personal information about your customers (names, contact details).
• Sign-up record: when you create an account we record your email (and company/name/phone if provided) so we can support you and tell you about HorizonAI’s services.
• Technical data: a single essential session cookie to keep you signed in. We do not currently use advertising or analytics cookies.

2. Why we use it

• To create and operate your account and generate your quotes.
• To provide support and keep the App secure and working.
• To contact you about your account and important service notices.
• Marketing: to send you tips, updates, and offers about HorizonAI — but only if you opt in. You can withdraw consent at any time (see section 7). This is in line with POPIA’s direct-marketing rules (section 69).

3. Your customers’ data (you are the responsible party)

When you enter your own clients’ details to build a quote, you are the responsible party for that information and we act as your operator (processor). You are responsible for having the right to process it and for using it lawfully. We process it only to provide the App to you, and we keep it isolated to your account.

4. Who we share it with (operators)

We do not sell your personal information. We use trusted service providers to run the App:

• Supabase — database hosting and authentication.
• Vercel — application hosting.
• Google (Apps Script & Sheets) — recording sign-up details for our lead list.
• Resend — sending quote emails on your behalf.

Some of these providers store or process data on servers outside South Africa. Where that happens, we rely on the cross-border transfer provisions of POPIA (section 72) — meaning the recipient is subject to laws or agreements that provide comparable protection, and/or you consent to the transfer by using the App.

5. How we protect it

• Encrypted connections (HTTPS/TLS) everywhere.
• Passwords are hashed by our authentication provider.
• Database-level row security so each account can only access its own data.

No system is perfectly secure. Please keep your password confidential.

6. How long we keep it

We keep your information for as long as your account is active, and only as long as needed for the purposes above or as required by law. You can ask us to delete your account and data at any time.

7. Your rights under POPIA

You have the right to:

• Ask what personal information we hold about you, and get a copy.
• Ask us to correct or delete your information.
• Object to processing, and withdraw marketing consent at any time (every marketing email has an unsubscribe link).
• Lodge a complaint with the Information Regulator.

8. Children

QuoteForge is a business tool intended for users aged 18 and over. We do not knowingly collect information from children.

9. Changes

We may update this policy. We’ll change the “Last updated” date above, and material changes will be notified in the App or by email.
